The Pelvic Clinic (“we”, “us”, “our”) is committed to protecting your privacy and handling your personal information with care. This policy explains what information we collect, why we collect it, how we use it, and the rights you have under UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

 

Who we are

Information we collect

Depending on how you interact with us, we may collect:

  • Contact details such as your name, address, email address and telephone number.
  • Date of birth, GP details and next-of-kin information.
  • Health information, including your medical history, symptoms, examination findings, test results, imaging and correspondence with other clinicians.
  • Insurance details, policy numbers and pre-authorisation codes where applicable.
  • Payment information, including invoice records (our regulated payment provider processes card details and we do not store them).
  • Information you provide through our website contact and enquiry forms.
  • Technical information such as IP address, browser type and pages visited, collected via cookies and similar technologies.

 

How we use your information

We use your information to:

  • Provide clinical care, including consultations, investigations, surgery and follow-up.
  • Communicate with you about appointments, treatment plans and aftercare.
  • Liaise with your GP, referring clinicians and, where relevant, hospital colleagues.
  • Process payments and manage billing with you or your insurer.
  • Meet our legal, regulatory and professional obligations, including record-keeping standards set by the General Medical Council (GMC) and the Care Quality Commission (CQC).
  • Improve our services and respond to enquiries and feedback.

 

Legal basis for processing

For general personal information, we rely on your consent, the performance of a contract with you, our legitimate interests in running the clinic, and compliance with our legal obligations. For your health information, which is a special category of data, we process it to provide healthcare under Article 9(2)(h) of the UK GDPR and section 10 of the Data Protection Act 2018.

 

Sharing your information

We only share your information where necessary and with appropriate safeguards. This may include your GP and other clinicians involved in your care, the hospital where your treatment takes place (including Spire Manchester and Spire Hale), your medical insurer, professional indemnity providers, and regulators where required by law. We use a small number of trusted service providers (for example our practice management system, secure email and payment processor) who act on our behalf under written contracts.

We never sell your personal information, and we do not share it for marketing purposes.

 

How long we keep your records

We keep clinical records in line with the guidance from the Department of Health, the GMC and the Independent Healthcare Providers Network. In general, adult clinical records are retained for a minimum of 8 years after your last episode of care. Records relating to maternity, children or certain specific conditions may be retained for longer. We keep non-clinical records (such as enquiry emails) only as long as needed.

 

Keeping your information secure

We take appropriate technical and organisational measures to protect your information, including access controls, encryption in transit, secure storage, staff training and audit trails. We store paper records in locked facilities with restricted access.

 

Your rights

Under UK data protection law, you have the right to:

  • Access the personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to erase information, where we are not required to keep it.
  • Restrict or object to certain processing.
  • Receive a copy of your information in a portable format.
  • Withdraw consent at any time where we rely on consent to process your information.
